Building an Agent Coworker for the Insurance Industry

certificate generation

Supersync.ai is a company devoted to helping companies use AI to make smarter decisions for sales, marketing, and cash flow. For three years, Brian Sowards (AI strategist and product manager) and Rushi Bedagkar (CTO) have been building AI systems inside a private AI lab, experimenting with what AI can do for organizations that require strict data privacy, security, and compliance. After spending some time with several insurance companies, working directly with a reinsurer, a broker, and an agency, they realized that this industry had a big opportunity for agentic innovation.

They chose Xano as their backend, because they knew it was the fastest, safest, and most effective way of supporting the speed, structure, and edge-case complexity their vision demanded.

If you want AI that actually connects to the systems you rely on, you need Xano. Nothing else we've used even comes close.

The idea: An AI coworker that thinks like an insurer

When Supersync.ai decided to focus on insurance, it wasn't because the industry was trending or easy to break into. Rather, it was because critical insurance workflows have two characteristics that make them ripe for AI improvement: (1) they're typically built around legacy technology and (2) they're fundamentally centered around documents.

Their first focus was on email, since they could see how overwhelmed brokers were: A single broker could receive 100+ messages a day — requests, renewals, certificates, follow-ups, everything. Their AI coworker's first skill was to read, understand, and reply to emails like a real coworker. But from there, it got more complex. They also wanted their AI coworker to:

  • Interpret policies
  • Extract actionable data
  • Trigger next steps
  • Generate documents
  • Update systems of record

And from there, they wanted their AI coworker to do more than just automate steps that humans could do — they wanted it to do things that humans were not successfully doing.

"Insurance is really a business about a document. And workflows centered around documents is exactly the place where AI agents can thrive."

Challenges

High-impact agent use case: Certificates of Insurance, 24/7

One of the challenges Supersync.ai consistently heard about in insurance was around trucking. What does this have to do with insurance? Truckers can't complete a delivery without a Certificate of Insurance (COI). COIs can only be generated by insurance brokers. But truckers work all hours, and brokers work 9-5.

That mismatch meant truckers were stuck at delivery sites waiting for hours because no human was available to generate their certificate. So Supersync.ai set out to build an AI coworker that could:

  • Read the certificate request
  • Retrieve the correct policy
  • Generate the COI
  • Insert the certificate holder
  • Send it back instantly
  • And do all of this *any time of day or night*

"The trucking industry never sleeps — but insurance brokers do. So most of the time, when insurance certificates are required, the brokers weren't available to provide them. We knew that an AI agent could solve that problem."

Rushi Bedagkar

CTO, Supersync.ai

They knew that if they could succeed in building this agent, it wasn't just about doing things faster. It was about a competitive advantage. Because a broker who can service truckers at 1 a.m., when other brokers can't, delivers a differentiator that carriers and clients can feel immediately.

"Our AI agent for insurance isn't just about automation. It's about business continuity. It's about a competitive advantage."

The challenge: AI alone is not enough to unlock value

Supersync.ai focused on insurance because every broker, agent, and carrier lives inside a universe of policies, endorsements, certificates, and email chains — all of which AI models are powerful enough to analyze. But the real thing that brings it all together to drive value is the ability to connect those models into the systems of record insurance runs on. In other words: AI alone isn't the unlock; it's the combination of AI and a unified backend that can act as a central brain.

In fact, Supersync.ai talked to insurance clients and found that many of them had already purchased shiny AI products. But what they found was that, while sales demos were consistently impressive, execution consistently wasn't. Every time they wanted something to improve, they heard the same story:

  • "That's a customization."
  • "We'll add it to our roadmap."
  • "We don't support that carrier."
  • "Your workflow isn't standard."

Supersync.ai knew that, if they could build the right AI coworker, they could outright replace the kinds of tools companies were spending money on.

Solutions

A single backend for every frontend

To build the right AI coworker, Supersync.ai knew they needed the right tech stack. And they did try other backend or combination backend/frontent tools (Supabase, Node.js, Retool, Coda, Webflow, the list goes on). But when they needed to deliver real value that adhered to strict regulations, they couldn't find a tool that could handle what they needed it to handle: complex edge cases, policy-by-policy inconsistencies, carrier-specific rules, state-level constraints, system-of-record nuances, and never-ending custom requirements.

Xano was the exception.

"Insurance is all nuance. And Xano is the only low-code backend built for endless edge cases."

Brian Sowards

AI strategist and product manager, Supersync.ai

Supersync.ai found success with Xano because they were able to operate across web apps, mobile apps, internal dashboards, AWS-based microservices, and multiple systems of record (Salesforce, HubSpot, Applied Epic, QuickBooks, AMS360, etc.) — all routing through Xano as the hub (or the "center brain," as Rushi referred to it). Plus, they did it all without standing up any infrastructure: no EC2 provisioning, no servers, no manual deployments, no DevOps cycles.

An insurance AI agent that works, in weeks

Although they have experience with a wide range of tools, Supersync.ai found that Xano was the only one that could give them exactly what they needed. First of all, it was fast.

"I was a hardcore full-code developer before I switched to Xano. But the ability to use Xano and get that visibility into the records, APIs, and database, all visually, helped us build prototypes or PoCs more quickly than our normal legacy code. Because in code, you have to set up a database, write SQL queries, APIs, maintain logs, and just go through everything. That's a whole long process."

Rushi Bedagkar

CTO, Supersync.ai

But not only was Xano fast — it made it easier for them to build truly good products. Because the reality of designing software is that everything has to be refactored all the time to stay relevant — and Xano made that not only possible, but easy and fast.

"Yeah, you can build apps real fast with Replit, or any other tool like Replit. But what if you have to rebuild them? What if you have to change your entire sense of how your data objects are connected? Trying to do that on a refactor basis is rough. But when you already have a completely visual model of your APIs and your tables, which is what you get with Xano, then you can do it easily. Your front end team, your designers, your clients even — they can all see how the pieces go together. And you can really get to the clarity most organizations have yet to attain in terms of: What are the real relationships between their data, their workflow, their people, and the metrics that they have?"

Brian Sowards

AI strategist and product manager, Supersync.ai

Xano wasn't just for backend engineers, either — the frontend Supersync.ai team (React, Next.js, Android, iOS) all now work directly in Xano.

"Our frontend team doesn't even message us anymore. They go into Xano, inspect the APIs, and self-serve."

Rushi Bedagkar

CTO, Supersync.ai

But the value isn't just on Supersync.ai's side — it's also being realized by all their insurance clients.

Brian and Rushi believe the next wave of insurance transformation won't come from buying more AI products. It will come from augmenting the workforce by giving every broker, agent, and service rep a 24/7 teammate that works through email, reads policies, initiates workflows, and removes the admin load holding the industry back.

For Supersync.ai and for their clients, Xano is the backbone that makes that vision real.

"If you want AI that actually connects to the systems you rely on, you need Xano. Nothing else we've used even comes close."
